Building Your FAQ Knowledge Base
Use AI to create a comprehensive FAQ document that handles most customer questions.
What Is a Knowledge Base?
A knowledge base is a document containing all the standard information about your business. Once you create it, you can paste it into any AI conversation to get perfectly informed responses about your business.
Step 1: Create Your Business Profile
Open Claude and use this prompt:
“I’m going to give you information about my business. Please organize it into a clean, structured document I can reuse. Ask me questions one by one to gather all the information you need.”
Then answer Claude’s questions. It will typically ask about:
- Business name and location
- Products or services offered
- Pricing
- Payment methods accepted
- Delivery/shipping details
- Return and refund policy
- Business hours
- Contact information
Step 2: Generate Your FAQ
Once Claude has your business profile, ask:
“Now create a comprehensive FAQ document with 20 questions and answers. Cover: pricing, ordering, shipping, returns, payment methods, custom orders, bulk orders, and quality. Write the answers in a friendly, professional tone. Each answer should be 2-3 sentences maximum.”
Step 3: Add Situational Responses
Your FAQ handles factual questions. But you also need responses for situations:
“Now add a section called ‘Situational Responses’ with templates for: 1) A customer asking for a discount, 2) A customer saying your price is too high, 3) A customer asking to pay later, 4) A customer leaving a positive review, 5) A customer whose order is delayed. Make each response warm, professional, and firm where needed.”
Step 4: Save and Use
Copy the entire FAQ document and save it somewhere easy to access (Google Docs, Notes app, etc.).
How to use it daily: When a customer message comes in, paste your FAQ into Claude along with the customer’s message:
“Here is my business FAQ: [paste FAQ]
A customer sent this message: [paste customer message]
Write a professional, friendly response based on my FAQ.”
This gives you a perfect, on-brand response in seconds.
Pro Tip: Update Monthly
Set a monthly reminder to update your FAQ. As your business changes — new products, new policies, new questions — update the document so your AI responses stay accurate.
